What will you be doing?
Coordination of selected administrative and operational processes (e.g., office attendance management, office procurement process, access card management process, etc.).
Creation, updating, and verification of documents, procedures, regulations, and instructions in collaboration with other departments to standardize operational activities.
Coordination of office space utilization using a reservation system, in accordance with the calendar of planned meetings and attendance reporting.
Coordination and execution of administrative and office purchases in accordance with company procedures,
Support in preparing documentation for internal and external audits.
Preparation of reports related to office attendance.
Creating reports and summaries – assisting in analyses related to office administration and operational processes.
Preparation of presentations / summaries / analyses related to operational and administrative matters.
Supporting the Operations Manager in managing health and safety (H&S) within the company.
Supporting the Operations Manager in managing the Business Continuity Plan.
What we're looking for?
Higher education or currently pursuing a degree (preferred fields : administration, economics, analytics, management, or related).
Experience in creating and standardizing procedures and operational processes.
Experience in organizing operational matters : coordination between teams, collaboration with contractors, etc.
Practical knowledge of MS Office.
Very Good Polish language skills (C1) .
Very good command of English (B2).
Availability in the office – on-site work
Accuracy, reliability, and meticulousness.
Excellent work organization and independence in action.
Ability to work in a team and strong communication skills.
High personal culture and effective communication skills.
Nice to have :
Experience in optimizing operational / financial processes.
Knowledge of data analysis tools.
Knowledge of procurement processes – 1 year of experience in independently executing procurement projects.
