Purpose

This role ensures facilities and associated services provide best-in-class employee experience and address business and security needs

Key Missions

  • Plans and manages activities associated with facilities management, property management, purchasing needs related to facilities, vehicle fleet management, cleaning or reception services, utility management, food services, etc
  • Cooperates with suppliers / vendors
  • Coordinates with external agencies facilitating eventual travel arrangements
  • Ensures facilities' infrastructure conditions and operations comply with regulations and business needs
  • Manages space planning
  • Ensures facilities' security and safety
  • Organizes company events
  • Plans, drives, and monitors maintenance and construction programs for the building, including its equipment and supplies
  • Manages facilities budget
  • Manages internal and external communication related to facilities
  • Executes simple tasks related to Facilities
  • Manages users' requests and troubleshooting

Profile & Other Information

1.Your responsibilities

  • Managing the reception area and daily office operations
  • Welcoming visitors and ensuring a professional front desk experience
  • Coordinating office supplies, deliveries, and services (e.g., catering, cleaning)
  • Supporting the organization of meetings and on-site events
  • Cooperating with external vendors and service providers
  • Monitoring office conditions and reporting maintenance needs
  • Supporting office space management and workplace setup
  • Ensuring a positive employee experience in the office

2. Requirements

  • 1–2 years of experience in an administrative, office, or front desk role
  • Strong organizational and multitasking skills
  • Proactive approach and ability to solve problems independently
  • Excellent communication and interpersonal skills
  • Professional attitude and attention to detail
  • English at minimum B2 level (supporting international visitors)

3. Nice to have

  • Good knowledge of Microsoft Office (Outlook, Excel, Teams, Sharepoint)
  • Experience in a corporate or IT environment
  • Familiarity with facilities or office management processes
  • Experience working with external vendors or service providers
