As a People Operations Specialist at Reply Polska, you will ensure that HR administrative processes, employee lifecycle documentation, benefits, and payroll coordination are managed efficiently, accurately, and in line with company standards and Polish labor law.
You will serve as a key point of contact for employees on operational HR matters, working closely with colleagues and managers to provide a smooth and positive employee experience. You’ll also play an active role in improving processes and building a collaborative HR culture that supports our continuous growth.
- Manage employee lifecycle documentation, from contract preparation and updates to handling employment confirmations, salary statements, and leave-related documentation in compliance with Polish labor law.
- Coordinate with payroll provider for accurate and timely monthly payroll processing, including timesheets, payroll lists, and necessary approvals.
- Administer company benefits such as PPK, Motivizer, Multisport, Edenred, PZU, and others.
- Prepare monthly and annual HR reports for accounting and management teams
- Prepare and maintain HR data files for processing in internal HR systems, ensuring accuracy and timely submission.
- Ensure smooth and secure data flow between internal HR systems and external payroll partners.
- Coordinate periodic health and safety training and medical check‑ups.
- Provide responsive HR support and guidance to employees regarding policies, benefits, and systems.
- Ensure compliance with labor law, internal HR standards, and data protection requirements.
- Coordinate with an external agency regarding the employment legalization process for foreign employees.
- Support implementation and data migration for the D365 system project.
- Collaborate with colleagues and managers across the organization to identify opportunities for improvement and share best practices.
- Proactively support initiatives that improve HR processes and overall employee experience.

Qualifications
Min. 2 years of experience in HR operations, administration, or payroll coordination.Strong understanding of Polish labor law, HR policies, and procedures.Strong team player with the ability to work independently and collaboratively across functions.Proactive mindset with a focus on continuous improvement, process optimization, and knowledge sharing.Proficiency in Microsoft Office (especially Excel).Strong attention to detail, organizational skills, and data accuracy.Fluency in Polish and EnglishReadiness to work in ahybrid set-up with visits to our Katowice office 3 times every week.Nice-to-Have :
