As Moderna continues to scale globally, we are seeking a Manager, Talent Acquisition Operations to support the smooth execution and evolution of our worldwide recruitment operations. This hands-on, individual contributor role is based in Warsaw and offers the opportunity to shape standardized, scalable TA processes that impact candidates, hiring teams, and HR stakeholders across all geographies.
You'll be at the heart of ensuring operational excellence — maintaining systems, driving compliance, and coordinating with multiple global functions including Legal, Payroll, HR Ops, Digital, and external vendors. Here's What You'll Do :
Your key responsibilities will be :
Executing and maintaining global recruitment workflows, including requisition creation, background checks, offer processes, and onboarding coordination.
Ensuring compliance with Moderna's global recruiting policies and external regulations (e.g., EEO, SOPs, background check requirements).
Acting as an operational liaison between TA, Legal, HR, Payroll, and Digital on process or system queries.
Supporting vendor engagement and coordination for scheduling, background checks, and contingent workforce processes.
Your responsibilities will also include :
Maintaining documentation such as SOPs, job aids, and FAQs to ensure process clarity and knowledge sharing.
Collaborating with TA Systems and Digital teams to optimize and support tools like Workday and Rooster.
Monitoring operational KPIs through dashboards and trackers (e.g., SLA adherence, turnaround times, candidate experience).
Troubleshooting day-to-day operational issues with recruiters and coordinators while supporting training efforts.
Contributing to QBRs with vendors, providing operational insight and continuous improvement suggestions.
Participating in small-scale projects aimed at enhancing candidate and hiring manager experience, while exploring new ways to leverage Generative AI in recruitment operations.

Here's What You'll Need (Basic Qualifications) :
Master's degree required
5+ years of experience in Talent Acquisition or HR operations, ideally in a global context
Experience working with applicant tracking systems (Workday strongly preferred)
Strong attention to detail and the ability to follow and enforce process standards
Excellent communication and organisational skills
Proficient with Microsoft Office Suite and collaborative tools (e.g., Smartsheet, Jira, Teams)
Here's What You'll Bring to the Table (Preferred Qualifications) :
Experience with recruitment operations in a highly regulated industry (biotech, life sciences, etc.)
Familiarity with US, EMEA or APAC employment frameworks
Exposure to vendor management or process improvement methodologies
