Description of the Institution

The European Network Remembrance and Solidarity aims to foster international discourse on history and remembrance, with a focus on periods of dictatorships, wars, and resistance to political violence. The Network operates in several European countries and organizes various projects, including exhibitions, publications, workshops, and conferences that target students and researchers. The ENRS encourages dialogue on difficult questions of European history of the 20th century.

Role Description

This is a part-time position (2 / 5 time, approx. 64 hours per month) on a contract of mandate basis, starting from 17 November 2025 (date negotiable)

The

Administrative and Financial Specialist

will support the day-to-day operations of the Foundation, ensuring the smooth flow of administrative and financial processes. The person in this role will be responsible for preparing and archiving documentation, coordinating the electronic workflow of financial and HR documents, and maintaining effective internal communication within the organisation. Close cooperation with the accounting department, contractors, and service providers will be essential to the role.

The position also involves assisting in the preparation of financial reports for EU-funded projects, supporting the settlement of business trips, and ensuring that documentation complies with donor requirements and internal regulations. The ideal candidate will be a well-organised, detail-oriented, and communicative professional, capable of managing multiple tasks with precision and contributing to the overall efficiency of the Foundation's operations.

Key Responsibilities of the Administrative and Financial Specialist :

  • Preparing, verifying, recording, and archiving documentation (invoices, contracts, requests for proposals, incoming and outgoing correspondence);
  • Handling the electronic workflow of financial and HR documents and ensuring smooth internal communication within the Foundation;
  • Ongoing cooperation with the Foundation's accounting department;
  • Supporting the settlement of business trips for the Foundation's staff;
  • Describing documents in accordance with the requirements of grant providers;
  • Assisting in monitoring project indicators and preparing reports on activities co-financed by the European Commission (Citizens, Equality, Rights and Values Programme);
  • Liaising with contractors and service providers (e.g. courier companies, suppliers, etc.);
  • Daily cooperation with the Foundation's Management Board and staff;
  • Performing other administrative and office duties.

Qualifications

Required :

  • Good command of English (spoken and written);
  • Minimum bachelor's degree;
  • Excellent computer literacy (MS Office, especially Excel) and ability to operate office equipment;
  • Strong interpersonal skills and ability to work in a team;
  • Accuracy and attention to detail;
  • Strong organisational and documentation skills;
  • Communicativeness and professionalism.
  • Preferred :

  • Experience in a similar position;
  • Knowledge of the Saldeo system;
  • Familiarity with the Polish Public Procurement Law and experience in conducting procurement procedures;
  • Education in administration, law, or management.
