Responsibilities :
Pre-Event Registration Management :
- Understand the requirements of the project's technological scope, its complexity and required functionality
- Analyze Website design requests and determine time and project needs for development
- As The Event Technology Specialist on each engagement, implement the service in compliance with the client’s brand and Data Privacy Requirements
- Serve as the single point of contact for each event owner, driving compliance of external vendors and other internal teams to meet the project plan milestones
- Create, with event planners’ input, and develop customized registration strategies and workflows
- Configure and maintain event registration software or systems, ensuring they meet event requirements, including mobile app and other technology platforms if applicable
- Create and manage online registration forms, ensuring accuracy and completeness
- Monitor and manage registration deadlines and quotas
Attendee Communication :
Serve as the primary point of contact for attendee inquiries related to registrationProvide timely and courteous responses to registration-related questions via email or phone.Assist attendees with registration issues, including login problems, payment processing, and data entry errorsData Management :
Organize and control the elements of each meeting to ensure registration, financial tracking, automated attendee communication and housing are providedCollect, validate, and manage attendee data, ensuring data accuracy and completenessGenerate registration reports and provide event planners with real-time registration updatesCollaborate with IT or technical teams to troubleshoot and resolve data-related issues.On-Site Registration :
Coordinate on-site registration processes as requested, including badge printing, materials distribution, and payment handlingOrder onsite technology fulfilment as needed, including equipment and supplies to meet the complexityTrain, manage, and schedule coverage for on-site registration staff, ensuring a smooth and efficient registration experience for attendees, as requestedTroubleshoot on-site registration issues and provide solutions in real-timeBe the “face” representation of the client’s brand on site – especially important when technology is the only service providedThis role will support JiffleNow projects for tradeshows and flagship events to coordinate executive 1 : 1 meeting and / or booth toursPayment Processing :
Oversee third party transaction processor setting up the payment gateway for events when applicableProcess payments, refunds, and invoicing related to event registrationReconcile registration revenue to ensure accurate financial reportingWork with finance and accounting teams to ensure compliance with financial proceduresPost-Event Reporting :
Generate post-event registration reports and analyse attendee data for event evaluationGather attendee feedback and insights to improve the registration process for future eventsCollaborate with event planners to archive registration data for historical reference and policy complianceRequirements :
At least 5 years of experience in a similar positionBachelor’s degree in business administration, event management, or related field preferredProven experience in event registration and customer service rolesProficiency in event registration software and database management (Cvent preferred; JiffleNow a plus but not required)Strong attention to detail and data accuracyExcellent communication and interpersonal skillsAbility to take initiative, work under pressure and meet tight deadlinesAbility to work flexible hours, including evenings and weekends, or other tasks as assignedOur offer :
