Job description

Your part of the deal :

In this role, you will support a high-level manager who leads several major functions and support the ESA Local Management Team. You will perform a wide range of administrative and general support duties of a highly responsible and confidential nature. The role holds cross-divisional complexity and diverse contacts with board members, top positions at regulator side and CEOs of banks and other companies.

The role :

  • Schedule appointments and arrange meetings, conferences, and travel
  • Take care about event preparation (contact with suppliers, contract preparation, legal checks), communication (event enrolment, posters, emails , participation in the event on-site to supervise organization, purchase of gifts and other commodities necessary for event organization, payment management, post event activities (SharePoint post, feedback sessions to improve next events)
  • Participate in initiatives aimed at promoting the branch, its positive vibe and potential, both within the Euroclear Group and outside
  • Organize and expedite flow of work through supervisor's office and initiate any follow-up action
  • Facilitate communication with different individuals and departments
  • Receive and screen telephone calls, letters, and visitors, answering routine questions
  • Organize and maintain files of supervisor's correspondence and records, following up on pending matters
  • Draft correspondence and memoranda for manager's signature
  • Prepare reports, gathering, summarizing, and analyzing data
  • Prepare correspondence, reports, and presentations
  • Organize and prepares complex documents requiring the integration of multiple office technology and software applications
  • May assign and oversee work of others

Your Profile :

  • You have a proven track record in a similar position
  • You have excellent written and verbal fluency in English and Polish
  • You are willing to learn and to understand the organization’s operations, procedures, and people
  • You have strong sense of risk awareness in handling sensitive data
  • You have advanced Microsoft Office skills
  • You are precise and detail-oriented
  • You are self-confident and open-minded
  • You are organized and able to set up priorities in daily work
  • You hold a University Degree
