Senior Administrative Assistant - Global Clinical Affairs Operations

Your responsibilities

  • In this role you will be supporting Global Clinical Affairs Operations team located in US, UK, Poland and Spain in administrative tasks, as well as managing SRM / Ariba system and our vendors.
  • Supporting elements of new supplier set up following the QIAGEN approved suppliers process regionally  and globally.
  • Generating shopping carts in SRM and through regional systems.
  • Following up and resolve any discrepancies with vendors e.g, missing purchase orders (PO), incorrect address, incorrect  billing information, errors in the invoice content.
  • Managing and tracking invoicing and goods receipt across all clinical projects.
  • Tracking of financials using the standard clinical templates by franchise.
  • Assisting Clinical Study Leads with the end of month accruals.
  • Coordinating all aspects of clinical contracts filing.
  • Supporting Clinical Trial Associates with clinical documentation processing and tracking.
  • Providing other ad hoc administrative services  for the Clinical Affairs function.

Our requirements

  • Bachelor’s degree.
  • Working experience in working on a similar position.
  • Experience in working with customers.
  • Very good written and spoken knowledge of English.
  • Good working knowledge of Excel is required. Knowledge of SRM / Ariba system would be beneficial.
  • Experience in handling invoices and working with vendors would be a plus.
  • Ability to work remotely as you would be a part of a global team.
  • Very good communication skills.
  • Attention to details.
